RV Rental Terms & Conditions (a full copy of these terms will be emailed with a reservation confirmation as well) Following are the terms and conditions of rental for an RV rental unit at Cottonwood Cove Resort. These terms and conditions may change without notice. At the time of booking, a non-refundable deposit of 15% of the entire stay is required as well as the following customer information: Name, address, licence plate and phone numbers, ages of all prospective guests. The renter must be 21 years of age or older and there is a maximum of eight (six when Covid restrictions in place) persons per site overnight with a total of four adults. No linens included in the rental rate. You are required to bring your own pillows, bedding, towels, wash cloths, etc. Cottonwood Cove RV Resort will contact you with a reminder of payment deadline and check-in times. Payment for your stay must be received in full 60 days prior to the scheduled arrival date. The rental fee is non-refundable in the event of cancellation at any time for any reason. If this is a concern please consider purchasing your own trip cancellation insurance from an agent. If no payment is received in advance the reservation will be cancelled without further notice. Taxes for the stay are due upon arrival. Checking In: 3-7pm Upon arrival, you will need to check in at the office where you can collect your guest information package, parking permits and provide a damage deposit which is fully refundable within one week of check out (although typically are available within 48 hours if no damage is found), details below. Cottonwood Cove RV Resort reserves the right to recover all losses that may occur as a result of a stay at the expense of the renter. The damage/cleaning deposit of $500 is to cover cleaning costs or damages to or missing items from the RV unit as a result of your stay. Any repairs and/or replacements required will be invoiced directly against this deposit. The remainder of the deposit, if any, will be returned to you within seven days of check-out along with a full accounting of any charges levied. Repairs requiring an insurance claim automatically forfeit the entire deposit. Damages not covered by insurance and exceeding the amount of the deposit will be invoiced to the guest. Cottonwood Cove RV Resort requires all guests to leave the rental unit as it was found—free from evidence of use or discarded items, any additional cleaning labour will be deducted at the rate of $25/hour or part hour and equipment and/or materials at cost plus 10%. Again, a full accounting of any charges levied against the deposit will be provided to the guest along with any remaining deposit amount within one week of check out. Up to two pets per site are welcome but under no circumstances may pets enter the rental unit. Any evidence of pets or smoking in the rental unit will result in an automatic charge of $200 against the deposit. After you check in, a resort staff member will guide you through a brief orientation on the use and enjoyment of the site and rental unit—please expect this orientation to last from 15 minutes up to one half hour. A guest's manual will be provided for reference of specific details including expected and acceptable operation of the rental unit and site. During Your Stay We hope you will take advantage of the many amenities Cottonwood Cove RV Resort has to offer during your stay. The rental unit is stocked with basic housewares, cleaning supplies and service for eight people and a complete inventory list including the replacement cost of each item will be available to you for reference. Please alert the office to any required replacements during your stay. Any repairs over and above normal cleaning and RV maintenance (i.e. those guest maintenance responsibilities outlined in the manual provided) must be completed and/or authorized by Cottonwood Cove RV Resort else be redone at the guest's expense. One full 20lb propane tank to accompany the provided barbecue and outdoor fire pit will be available for use during your stay. Additional propane may be purchased on site if desired. Also, RVs require that specific toilet paper be used and two rolls of RV compatible paper per week reserved will be provided. Additional paper required may be purchased from most major stores or at the office. Basic RV maintenance, i.e. emptying holding tanks, etc. will most likely have to be to be performed during your stay. While all aspects of RVing that will affect your stay will be covered in the initial orientation at check in, It is the guest's responsibility to ensure that all such maintenance is performed punctually and diligently. If there are any questions on the proper use of the RV rental unit or the performance of basic maintenance, please refer to the guest manual provided with your stay or ask any staff member for assistance. After Check Out Check out time is 11 am and late check outs will be charged $25 for every hour and part hour after 11 am. Once you have departed, Resort staff will confirm the status of all houseware inventory items as well as the operation of all indoor and outdoor appliances, furniture rental unit amenities, and site infrastructure and prepare for the refund and/or accounting of deposit.
